ISADS 2009 Symposium & Related Workshops Registration

Registration is required to attend the ISADS2009 Symposium and related workshops:

On-line registration and payment is preferred. Your on-line registration payment is processed through a secure web-based credit card payment system (ssl encrypted data transfer).
All registrations will be handled by Ms. Stamatia Gika of MeetingPlanner.gr (the Symposium’s management company). You may proceed with on-line registration at the end of this page.

Before you proceed with submitting your registration please carefully read the following information on registration methods, payment and cancellation policies.

Registration information / notes for authors

Only fully registered Symposium participants can participate in the Workshops.

For each accepted paper to be included in the Symposium proceedings, at least one author must register by 25th January 2009, at the Member or Non-Member rate and present the paper at the symposium. There is no student fee for presenting authors.

The Member and Non-Member registration fee covers inclusion in the proceedings of one paper. Long papers can be up to 8 pages long free of charge and authors of long papers can purchase up to two extra pages at an additional cost of 50€ per page (the pages should be purchased as an additional item). Short papers and workshop papers can be up to 6 pages long.

The registration fee includes ONLY one paper. If the author has several papers, he/she has to pay a separate registration fee for each paper.

Participants are eligible for the early registration fee, if payment of registration is received by January 25th, 2009. Registration payments after that date will be charged with the late registration fee.

IEEE Member rates are only available to individuals who are IEEE members at the time of registration (please visit www.ieee.org/join to join). IEEE members should provide their Member number in the registration form and be prepared to show their IEEE membership card at the Symposium registration desk.

Students must be prepared to show their student card or any document certifying their student status.

The Symposium organization can issue official invitation letters for visa purposes ONLY after registration and payment has been confirmed.

Registration by e-mail or phone will not be accepted.


Participation of accompanying persons in the various social events of the Symposium will be available at an extra cost.

Registration Methods
You can register using any of the following methods:

On-line Registration
On-line registration and payment is preferred. Your registration payment will be processed through a secure web-based credit card payment system (SSL encrypted data transfer).
Use the on-line registration link. Please note that, the first time you use the on-line system you must create a user account.

Registration by Fax
Registration by fax is available for those who cannot register on-line. Please, download, fill in the registration form, with your credit card or other payment information and send it by fax to: +30 2610 991 945.

Registration by Mail
Registration by mail is possible, using the registration form. Mail and payment should be received by the corresponding deadline. Please, download, fill in the registration form, and mail it to:

Attention

  • Each participant must register separately.
  • Receipts will be given on site. No invoices will be sent in advance.
  • Upon receiving your complete registration application and respective payment(s), the registration desk will e-mail you a confirmation letter, including your registration number.
    Please print the official confirmation of registration e-mail and bring it with you to the on-site registration desk!

On-line registration will remain open until Monday, March 16th 2009. After that date, only registration at the on-site registration desk is possible.

Payment of Fees

Registration will not be considered complete, until full payment is received.
Acceptable methods of payment are:

Bank Transfer
If you are unable to pay by credit card, you may
pay by bank transfer, but an extra 20€ are required to cover administration handling costs.
For safety reasons, the bank account details will be sent to you by e-mail. You need to indicate the bank transfer method on your registration form first!

  • All payments must be made in Euro.
  • Cash payments will be accepted only on-site. Credit card payment will also be available on-site. No other type of payment will be accepted.

Cancellations

In the unfortunate event that a registration must be cancelled, a refund of all prepaid fees will be made, excluding an administration charge of 100€, provided that advance written notification
is submitted by Monday February 23rd , 2009. No refunds will be made for cancellations received afterwards. All refunds will be handled within 30 days after the end of the Conference.

Additional Registration Application

Those who are already registered, but would like to get additional items (i.e. the conference proceedings, welcome reception tickets, conference dinner tickets or lunch tickets), must use an additional registration form.
The additional registration application can not be submitted on-line. You must fax (+30 2610 991 945) the additional registration form. Confirmation will be sent via e-mail, after proof of payment has been received.
Please remember to print and bring this confirmation letter with you to the registration desk, in order to collect your tickets/proceedings.

Letters of Invitation

Delegates requiring a letter of invitation in order to attend the Symposium may write to the Registration Desk (ISADS09 at meetingplanner dot gr) specifying the necessary details.
Please note that this procedure aims to assist delegates who need to obtain a visa or permission to attend the Symposium. It is not an official invitation covering fees and
other expenses and does not imply any financial support from the Symposium.
Payment for registration fees must have been finalized, before requesting an invitation letter. Please make sure that in your request to the Registration Desk for an invitation letter you include:

  • Name, postal address, and a valid e-mail address;
  • Paper number, if you are presenting a paper;
  • The words "invitation letter request" in the subject field of your e-mail request.

The visa letters will be emailed in a printable coloured pdf format and will state only the facts:

  • Symposium title, dates, and location;
  • That the requester has paid the required registration fee in full;
  • If the requester is a committee member, speaker, or presenter.

Attendees who need visas are advised to apply for it to the respective consulate/embassy no later than 3 months prior to the Symposium. For visa information, please visit the Greek Ministry of Foreign Affairs

Personal Insurance

The organizers cannot be held responsible for accidents to Symposium participants or accompanying persons, for damage or loss of their personal property, or for cancellation expenses, regardless of cause.
Participants should therefore, make their own insurance arrangements. Please consult with your local insurance sources regarding coverage.
